Terms & conditions of stay
These Terms and Conditions apply to all bookings and stays at Airport Tourist Village Melbourne (ATVM).
1. Definitions
- Park means ATVM
- Guest means the person making the booking and all occupants and visitors associated with that booking
- Booking means a reservation for accommodation at ATVM
- Tariff means the accommodation fees payable for the stay
- Bond means a refundable security bond required for certain stays
- Check-in Date means the first day of the booked stay
2. Nature of Stay
- Accommodation at ATVM may be provided on either a short-term or long-stay basis.
- Guests occupying a site on a long-stay or residential basis must enter into the appropriate site or occupancy agreement applicable to their stay.
- No tenancy, lease, or residential rights arise unless expressly granted under a signed site or occupancy agreement.
3. Bookings and Payment
- Bookings are not confirmed until a deposit equal to one night’s accommodation is paid. For one-night bookings, full payment is required at the time of booking.
- ATVM accepts Visa, MasterCard, and American Express. Cheques are not accepted.
- Card payments may incur a surcharge equal to the reasonable cost of card acceptance, as permitted by law.
- Online bookings are limited to a maximum stay of 30 consecutive days. Stays exceeding 30 days must be requested directly through ATVM management and are subject to approval.
4. Cancellation Policy (General)
- If a booking is cancelled 48 hours or more prior to the Check-in Date, the deposit will be refunded less a $50 cancellation fee.
- If a booking is cancelled within 48 hours of the Check-in Date, the first night’s Tariff will be forfeited.
- No refunds are provided after check-in, including for early departures.
- Christmas, New Year, and Easter bookings are subject to separate cancellation conditions set out in clause 10.
5. No-Show Policy
If a Guest fails to arrive on the Check-in Date without prior notice, the full Tariff for the entire Booking may be charged.
6. Park Right to Cancel Bookings
- ATVM may cancel a Booking at any time for operational, safety, compliance, or behavioural reasons.
- Where a Booking is cancelled by ATVM prior to or during a stay, any unused pre-paid Tariff will be refunded.
- No further compensation is payable.
7. Bonds and Long Stays
- For stays exceeding 7 consecutive days, a refundable Bond is required. The Bond amount will be advised prior to confirmation of the Booking.
- The Bond may be applied to outstanding charges, damage, excess cleaning, or breaches of these Terms & Conditions or Park rules.
- Any remaining Bond balance will be refunded within 7 days of departure.
- Guests staying longer than 30 consecutive days must complete and sign a Non-Residential Occupancy Agreement or other applicable site agreement prior to or at check-in. Failure to do so may result in cancellation of the Booking without refund.
8. Check-in and Check-out
- Check-in times:
- Powered and unpowered sites: from 12:00 noon
- Cabins: from 2:00 pm
- Check-out time is strictly 10:00 am.
- Late departures may result in additional charges or forfeiture of part or all of the Bond.
9. Guest Conduct and Park Rules
- Guests must comply at all times with these Terms & Conditions, the Park rules, policies, and directions issued by ATVM management.
- Failure to comply with Park rules, staff directions, or these Terms & Conditions may result in immediate eviction without refund, and involvement of authorities if required.
10. Minimum Stay Periods
- Long weekends require a minimum 3-night stay.
- Melbourne Cup Weekend requires a minimum 4-night stay.
- Christmas/New Year and Easter periods require a minimum 4-night stay.
11. Christmas, New Year, and Easter Bookings
- A deposit equal to one night’s accommodation is required at the time of booking.
- If a booking is cancelled or amended after the relevant cut-off date, the full Tariff is forfeited unless the accommodation is relet for the entire cancelled period.
- If the accommodation is fully relet, a refund will be provided less a $50 administration fee.
12. Site Allocation
Allocation of a specific site or cabin is not guaranteed and may be changed at ATVM’s discretion.
13. Damage and Liability
- Guests are responsible for any damage caused by themselves or their visitors.
- Guests must indemnify ATVM for reasonable costs arising from damage, loss, or breaches of these Terms & Conditions or Park rules.
14. Vehicles and Property
Vehicle access, parking, and use of ATVM facilities are subject to Park rules and management directions.
15. Force Majeure
ATVM is not liable for cancellations, interruptions, or changes caused by events beyond its reasonable control, including weather events, utility failures, or government restrictions.
16. Governing Law
These Terms & Conditions are governed by the laws of Victoria, Australia.
17. No Pets
- Pets are not permitted in cabins or sites unless expressly approved in writing by ATVM management.
- Unauthorised pets may result in immediate eviction, additional cleaning charges, and forfeiture of any Bond, with no refund payable.
18. Digital Acceptance
- By completing a booking online, in person, or via a third-party platform, the Guest confirms they have read, understood, and agreed to these Terms & Conditions
- Acceptance may be recorded electronically, including digital registration forms and uploaded identification.
19. ID Requirement
ATVM reserves the right to require valid government-issued photo identification at check-in.
